Project Administrator
PROJECT ADMINISTRATOR

General Summary
Provide administrative support in the execution of Systems & Design project orders. Facilitate communication between departments and individuals to ensure compliance with standard operating procedures and processes. Coordinate and review the formulation and finalization of contracts as required in coordination with division management and legal advisors. Ensure compliance of appropriate regulations. Research and prepare analysis as required.
Responsibilities of Position: Duties include but are not limited to:
Organizational Responsibilities
- Develop and prepare regular reports on the status of contracts.
- Determine the priorities, goals and objectives of work functions assigned.
Personal Responsibilities
- Administer contract monitoring, contract administration and compliance. Track items including out contracts, received items and work orders. Transition quotes into orders and maintain proper files and backup information.
- Obtain insurance and liens for new projects
- Resolve contract payment disputes and confer with contractors and other divisions concerning contract payments and compliance.
- Implement and interpret policies and procedures. Develop, recommend and coordinate the implementation of new procedures for the assigned function.
- Perform inventory audits and communicate levels to purchasing and PMs
- Inside contact for department issues including shipping/receiving and customer timelines.
- Maintain computer database for the contract management system.
- Other duties as assigned.
Team Responsibilities
- Coordinate with finance staff to ensure proper billing and collection of contractual revenue.
Key Requirements
- Bachelor's degree in Business Administration or related field
- Five (5) years experience in the preparation, administration and monitoring of contracts
- Experience with construction and/or design professional contracts preferred.
- Must adhere to all company policies, SOPs, and other management directives.
Physical Requirements
The job duties and tasks of this position require the employee to regularly sit. The employee may choose to stand and move within their working area. Regular use of computer monitors and a keyboard/mouse will be required. The employee must occasionally lift and/or move up to 2 pounds. Other physical requirements of the job include the ability to communicate. Generally, the employee will be in a temperature-controlled work environment set for general comfort.
Availability
- Must be available to work in the evenings and weekends, as required.
