General Summary
The Logistics & Rentals Coordinators primary responsibility is providing coordination, planning, and support for all pieces moving in and out of the office. This role requires excellent organizational skills that ensure our team members are providing the very best customer service.
Responsibilities of Position: Duties include but are not limited to:
Organizational Responsibilities
- Maintain and operate per 4Wall quality standards in all work activities
Personal Responsibilities
- Generate accurate shipping labels and prepare bills of lading for all outbound and inbound orders
- Write PO’s for shipping venders and manage to completion
- Communicate with sales staff on all logistics pertaining to their orders.
- Obtain multiple shipping quotes from vendors from standard pallet shipments to multiple 53’ truck orders
- Generate freight quotes for sales team
- Generate and control missing and damage reports – missing items from a return
- Generate Late Returns report and communicate with agents in a timely manner
- Track, analyze and file claims for failed shipments to ensure they do not repeat
- File claims for damage or lost shipments
- Generate summary reports monthly to track shipping effectiveness and ways to improve.
- Assist dock workers in monitoring of sub-rental returns
- Observe all safety regulations and policies.
- Interact with all customers, internal and external, in a professional, friendly manner and provide outstanding customer service
- Maintain trucking schedule for all deliveries and pickups of Orders from or to Boston Warehouse, either with our own staff and trucks, or utilizing outside vendors
- Arrange and oversee trucking to and from other 4Wall locations as required for Cross-Rentals and transfers
- Assist Operations Manager with tracking and maintenance of truck fleet
- Communicate with other locations as needed for cross rental of equipment
- Create PO’s for subrentals
- Oversee the receiving and returning of cross rented gear in Rental Works
- Work with Sales Team to forecast upcoming needs
- Act as a shop liaison for incoming prep crews to ensure the prep space is ready
- Communicate between clients and sales team regarding any order changes that occur during shop prep
- Other duties as assigned.

- Maintain the highest level of customer relations
Key Requirements:
- Previous experience with loading docks, scheduling pick up/drop offs, and warehouse operations
- Understanding and knowledge of theatrical lighting, staging, rigging, and entertainment equipment is preferred
- Experience managing drivers and warehouse employees
- Knowledge of DOT regulations and requirements
- Demonstrated knowledge of Microsoft Office including Outlook and Excel
- Ability to learn new software programs
- Ability to work in a fast-paced environment
- Ability to work overtime on nights and weekends on a semi-frequent basis
- Knowledge of basic operations, including security and safety programs, personnel and labor relations, repairs, and maintenance.
- Must possess outstanding communication skills
- Demonstrated leadership skills and ability to direct, coach, mentor, and support team members
- Must adhere to all company policies, SOPs, and other management directives
Physical Requirements
The job duties and tasks of this position require the employee to regularly stand and walk. Regular use of computer monitors and a keyboard/mouse will be required. The employee must regularly push, pull, bend, climb, reach, twist, and kneel as well as lift and/or move 75-100 pounds. Other physical requirements of the job include communication and visual acuity such as close vision, peripheral vision, depth perception and the ability to adjust focus. Generally, the employee will not be in a temperature-controlled work environment and may experience temperature variations due to local weather conditions.
Availability:
- Must be available to work in the evenings and weekends, as required.
