General Summary
The Production Assistant promotes positive guest, client, and talent experiences by ensuring that all areas and aspects of the live events projects are running at the optimum performance level through various administrative tasks.
Responsibilities of Position: Duties include but are not limited to:
Organizational Responsibilities
- Maintain and operate per 4Wall quality standards in all work activities.
Personal Responsibilities
- Ensure all policies related to labor are being adhered to and enforced consistently.
- Request and receive CAPS new hire paperwork for temporary employees.
- Request 1099 Subcontractor paperwork and send to HR for approval.
- Schedule show prep labor based on needs of each project.
- Coordinate travel of all temporary and contracted employees per specifications of event/job.
- Request timecards from all freelance and/or temporary employees and submit timecards within payroll deadlines.
- Verify Per Diem, Rates and Hours for all labor in RentalWorks.
- Enter expenses and receipts into RentalWorks.
- Prepare purchase orders for 1099 Subcontractors.
- Maintain all documentation for Production Job Packets (Health & Safety, Missing & Damages, Timesheets, etc.)
- Schedule, arrange, and attend meetings, as needed.
- Arranging for employee and customer events including on and off-site events.
- Complete other administrative tasks as requested.
- Maintain the confidentiality of our clients.
- Other duties as assigned.
Team Responsibilities
- Communicate in a positive and professional manner with all 4Wall Entertainment employees and CAPS employees.
- Maintain the highest level of customer relations
Key Requirements
- 3 years of applicable office experience required; 2 year college degree preferred or equivalent combination of experience and education.
- Strong PC skills including: Word, Excel, Outlook, PowerPoint and Internet.
- Excellent written and verbal communication skills.
- Entertainment industry experience a plus.
- Must be responsible, self-motivated, self-starter, personable and well organized.
- Ability to manage multiple tasks simultaneously.
- Ability to maintain friendly, professional demeanor at all times.
- Must be able to take directions as well as multi-task in a fast-paced environment without supervision.
- Must have a solid work background, including recent consistent work experience. Gaps must be explainable.
- Must have a positive attitude, be team-oriented and have great customer service skills.
- Willingness to accept new challenges as the job may grow and change over time.
Physical Requirements
The job duties and tasks of this position require the employee to regularly sit. The employee may choose to stand and move within their working area. Regular use of computer monitors and a keyboard/mouse will be required. The employee must occasionally lift and/or move up to 2 pounds. Other physical requirements of the job include the ability to communicate. Generally, the employee will be in a temperature-controlled work environment set for general comfort.
Availability
- Must be available to work in the evenings and weekends, as required.
