Location: UK - Aylesbury

Join 4Wall Europe - a global video, lighting, rigging company. With 3 UK locations and 11 across the US, 4Wall works with some of the best-known brands and artists around the world, delivering the very latest video, lighting and rigging equipment.

We have a great opportunity for an enthusiastic, organised Administrator to join our growing team.

Based at our Aylesbury office, and working closely with our Sales team and Project Managers, you will meticulously coordinate a variety of administrative tasks to keep our projects running smoothly.

The ideal candidate will have experience in administration, a flexible can-do attitude, outstanding organisation skills, the ability to work well under pressure and the desire to work as part of a collaborative team to help us deliver exceptional client service.

Primary Responsibilities:

  • Liaising with Sales and Project Management teams daily in relation to all logistical/operational requirements
  • Raising purchase orders.
  • Fielding incoming phone calls
  • Greeting visitors and monitoring the premises pass system.
  • Supporting with booking technicians to jobs, both internal staff and external freelancers.
  • Supporting with the maintenance of our freelancer database to ensure all data held is relevant and up to date
  • Arranging travel and accommodation as necessary for technicians who are working away from home
  • Producing appropriate documentation for jobs allocated to you.
  • Maintaining and distributing health and safety documentation as per requirements
  • Arranging vehicle passes for venues.
  • Ensuring all staff and freelance technicians have the correct company uniform and paperwork for each Job.
  • Providing adhoc administration support to the Sales team.
  • Supporting the procedure of cross referencing the rental system against other internal systems to ensure accuracy of job details.
  • Assisting with freight procedures for entering and exiting show sites when required.
  • Assist the HR team with the coordinator and delivery of internal and external events.
  • Assist with the onboarding process to include the meet and greet of new joiners, verify new joiners ID, ensure a headshot is taken and they have everything they require.
  • Placing monthly supply orders for kitchens and office stationary

Qualifications and pre-requisites:

  • Previous administrative experience is essential, ideally within a coordination role
  • Good level of IT Skills
  • Strong organisational skills and planning ability
  • Excellent communication skills Excellent communication skills, both written and verbal
  • A high level of attention to detail and accuracy is required to ensure the accuracy of our data
  • A positive minded self-starter who is able to use initiative
  • The ability to work well in a fast paced environment.
  • A great team player.

Working hours:

Full time.  8.30am – 5.30pm Monday - Friday
